Define which entity, supplier, products and review period the decision concerns. Identify who owns the relationship and who can confirm operating records. A vendor-wide review may require several distinct service-order positions.

Review boundary

Evidence: Entity records, service orders and accountable relationship owner.

Owner / status: Relationship lead / scope confirmed or open.

Connect master agreements, orders and amendments. Identify effective dates and partial changes while preserving unaffected provisions. Mark missing schedules as unresolved rather than assuming the latest file is complete.

Governing position

Evidence: Document family, dates, scope and source references.

Owner / status: Commercial reviewer / evidenced or requires further review.

Identify the relevant renewal provision, notice process and dates from the records. Confirm which entity and service each provision covers. Keep interpretations and any required advice within the appropriate review process.

Timing review

Evidence: Renewal provisions, notice requirements and correspondence.

Owner / status: Contract owner / dates verified or clarification needed.

Compare the applicable charging basis with invoices, quantities and products. Separate a discrepancy from a confirmed commercial outcome. Preserve the period and assumptions behind every comparison.

Commercial comparison

Evidence: Fee schedule, amendments, invoice lines and operating records.

Owner / status: Finance owner / reviewed or exception pending.

Establish which subscriptions, users and entitlements belong to the review scope. Do not assume that usage alone establishes a contractual right or obligation. Validate name mappings and charging definitions with the responsible team.

Operating scope

Evidence: Inventory, entitlement records and governing service orders.

Owner / status: Operating owner / mapping confirmed or incomplete.

Identify the relevant obligation questions and available evidence. An absent record does not establish non-performance. Record what is missing, who can provide it and what decision depends on that evidence.

Open questions

Evidence: Relevant obligations, delivery evidence and unresolved dependencies.

Owner / status: Review owner / evidence requested or ready for assessment.

Bring the current position, timing, operating evidence and open questions into the authorized renewal workflow. Use your approved systems for sensitive details. These local checkboxes are a temporary review aid, not a legal conclusion or an approval record.

Decision hand-off

Evidence: Evidence index, named reviewers and follow-up actions.

Owner / status: Decision owner / ready for review or blocked by dependencies.
